Define the removal scope

Plan around business continuity

Work backwards from the time the new premises must be usable. Decide which teams or functions move first, what must remain operational and whether a phased relocation is more practical than a single handover. Allow time for packing, access, unloading, IT work and testing rather than treating transport as the whole project. Inform staff, customers and suppliers through your own continuity plan. If working-hour restrictions apply at either building, state them clearly when requesting the quotation.

Separate IT and specialist responsibilities

Back up business data before equipment is moved. Label devices, cables and their intended destinations, and use a suitably qualified provider for disconnection, installation or specialist equipment where necessary. Do not place passwords or sensitive information on public labels. Printers, servers, safes, workshop equipment and other heavy or delicate items must be identified in advance so that appropriate arrangements can be discussed. If an item is outside the agreed scope, arrange the correct specialist rather than assuming it can be added on moving day.

Audit access at both premises

Explain loading bays, goods lifts, stairs, reception procedures, security passes, parking controls and delivery-hour restrictions. Confirm whether a building manager requires risk documents, notice or protective materials. Measure lift doors and narrow routes for larger furniture. At the new premises, allocate unloading zones and room labels before the vehicle arrives. If other contractors are working at the same time, coordinate them so entrances, lifts and loading areas remain available and safe.

Pack and label by destination

Use department, room or workstation codes that match a simple floor plan for the new premises. Keep a separate asset list for equipment and avoid overloading archive boxes. Confidential records should follow your organisation’s security and retention procedures rather than being mixed with ordinary contents. Decide who holds keys, access cards and sensitive items. Clear labels reduce repeated questions during unloading and help your staff begin the organised unpacking process once furniture and boxes are in place.

Review the quotation and changes

Check that the quotation reflects the inventory, addresses, access windows, included labour, furniture preparation and any phased work. Confirm the price, payment terms, exclusions and how changes will be handled. A site visit or further information may be needed for more complex premises. If staff numbers, equipment, access or dates change, notify Saints promptly. A business move can become materially different when even one department or large storage area is added after the original scope was prepared.

Manage moving day safely

Use one authorised coordinator at each premises and keep walkways, fire exits and loading areas clear. Mark anything that must not be moved and restrict access to sensitive spaces. Keep essential business items, data and documents under your organisation’s control. At the destination, confirm furniture positions before unloading and record any issue promptly. Once the physical move is complete, your team can follow its separate plan for equipment checks, data security, utilities, staff access and resuming normal operations.
